Fixed Fee Plans collects personal data only when you send us a quote request or email us, and uses it only to answer your enquiry and give you a quote. We never sell it or share it for marketing. Last updated 11 October 2026.

Who is responsible for your data?

The data controller is Property Architecture Ltd, registered in England and Wales, company number 17536132, registered office 71–75 Shelton Street, London WC2H 9JQ, trading as Fixed Fee Plans. You can reach us at hello@fixedfeeplans.co.uk.

What personal data do we collect?

Quote requests and emails you send us. If you use the quote form on our contact page or write to us, we hold your name, your email address, your phone number if you give it, and whatever you tell us about your property and project (the package, borough, postcode and description). A quote request is saved in our own database, on our server in the EU, and a copy is emailed to our practice mailbox. We do not record your IP address with it. We use it to answer you and to prepare and confirm a fee. Our lawful basis is taking steps at your request before a contract (UK GDPR Article 6(1)(b)), and our legitimate interest in replying to people who write to us (Article 6(1)(f)). If you become a client, we keep the records we need to do the work and to meet legal and accounting duties. We keep enquiries that go no further only as long as we need to answer them.

Server logs. Like any website, ours is served from a server that records the IP address and the pages requested. We host in the EU with Hetzner, and Cloudflare sits in front of the site as a proxy, which also processes IP addresses. We use this for security and to keep the site running, on the basis of legitimate interests (Article 6(1)(f)). Cloudflare is a global network, so its own privacy policy describes where it processes data.

What do we not do?

  • The quote form is the only form on this site, and it sends nothing until you press its button. The fee calculator and the permitted development checker run in your browser, and your answers are not sent to us.
  • With your consent only, we use Google Analytics 4 to count visits and three actions: completing the fee calculator, completing the permitted development checker, and sending a quote request (by the form or by email). Google receives only labels such as the service and borough, never your name, email, phone number, postcode or message. If you choose Reject, or ignore the banner, Google Analytics never loads and sets no cookies. Google acts as our processor; the lawful basis is your consent (Article 6(1)(a)), which you can withdraw at any time with Cookie settings at the foot of every page.
  • Cookies: only if you accept, Google Analytics sets _ga and _ga_<id> (up to 2 years) to count visits. We set none of our own; your choice is kept in your browser's local storage as site-consent for 6 months, and choosing Reject deletes the Google Analytics cookies. Our fonts are served from our own domain, with no request to Google. Cloudflare may use a strictly necessary security cookie of its own for bot protection.
  • We never sell your data, and we never share it for marketing.

Who do we share your data with?

Not with other businesses for their own purposes. Our hosting provider (Hetzner, in the EU), Cloudflare and our email providers (including Resend, which delivers quote requests from the form to our mailbox) act as our processors: they handle data on our behalf so that the site and our mailbox work, and for no other reason. If we ever have to disclose data to comply with the law, we will do so only to the extent the law requires. A lead goes to the practice and nowhere else.

How do we keep it safe?

The whole site is served over HTTPS and we send security headers with every page. Access to our mailbox is limited to the people who answer enquiries. No system is perfectly secure, and if a breach put your rights at risk we would tell you and the ICO as the law requires.

Will this notice change?

Yes, when what we do changes. The date at the top shows when it was last updated. For how we price and what we promise, see the about page.

What are your rights?

Under UK GDPR you have the right:

  • to be told what personal data we hold about you, and to have a copy
  • to have inaccurate data corrected
  • to have your data erased, where we have no good reason to keep it
  • to restrict how we use your data while a dispute is settled
  • to object to our use of your data where we rely on legitimate interests
  • to receive data you gave us in a portable format, where the law applies that right

To use any of them, email hello@fixedfeeplans.co.uk. We will reply within one month, as the law requires.

Who can you complain to?

Tell us first and we will try to put it right. You can also complain to the Information Commissioner's Office, the UK data protection regulator, at ico.org.uk.
